These terms are an agreement between Hopkins Systems ("we") and the business or individual that uses the platform ("you"). By using the platform you agree to them.
1. What the platform is
The Hopkins Systems platform is software for running a service or client business: a public page, requests and bookings or inquiries, scheduling, a field app for staff, invoicing and payment tracking, customer records, reports, and related tools. Hopkins Systems sets up each workspace with you. Features available to you depend on the modules set for your workspace.
2. Your account and your team
- You are responsible for the people you invite and what they do in your workspace.
- Keep sign-in details private. Tell us right away if you think an account was misused.
- You must be at least 18 and able to enter a contract for your business.
3. Plans, fees and billing
- You pay the price and any one-time setup fee for the plan agreed with Hopkins Systems, in US dollars. Fees are charged through Stripe to the card you provide, in advance, either each month or each year.
- Paying yearly waives the setup fee on plans that say so on our pricing page.
- Trials end on the date shown in your account. If no card is added, service may be paused.
- If a payment fails, we will tell you and may pause the workspace after 14 days.
- You can cancel at any time. Refunds and cancellations follow our Refund and Cancellation Policy.
- We may change prices with at least 30 days' notice by email. A price change applies from your next billing period.
4. Payments from your customers
When your customers pay you by card, the payment goes to your own Stripe account under Stripe's terms. Hopkins Systems does not hold or take a cut of that money. Payments by Cash App, Venmo, Zelle, Apple Cash, Square, cash or check happen outside the platform; the platform only records them. You are responsible for your own prices, refunds, taxes and receipts to your customers.
5. Your data
- The information you and your customers put into the platform belongs to you ("Your Data").
- You give Hopkins Systems permission to store and process Your Data only to provide and support the service, as described in the Privacy Policy and the Data Processing Agreement.
- You can download all of Your Data at any time from Settings. After a workspace is closed, Your Data is deleted 60 days later unless you reopen it. Backups are removed on their normal cycle.
- Hopkins Systems may view your workspace in read-only mode to help you when you ask for support. Each such view is logged.
6. Your responsibilities
- Only promise on your public page what you actually do. Only post real reviews.
- Get any permission you need to email your customers and to store their information.
- Do not use the platform for anything unlawful, to send spam, or to store payment card numbers, government ID numbers or health records.
7. Availability and changes
We work to keep the platform running and your data safe, but the service is provided "as is" and may occasionally be unavailable. We may improve or change features. If we remove something you rely on, we will tell you ahead of time.
8. Limits on liability
To the extent the law allows, Hopkins Systems is not liable for indirect or consequential losses, lost profits or lost data, and our total liability for any claim is limited to the fees you paid in the 12 months before the claim.
9. Ending the agreement
You may stop using the platform at any time. We may suspend or close a workspace for non-payment or a serious breach of these terms, after notice where reasonable.
10. General
These terms are governed by the laws of the State of New Jersey. If a disagreement comes up, we will first try to settle it by talking with you directly. We may update these terms; the date at the top shows the latest version, and we will email account owners about important changes. Questions: hello@hopkinssystems.com.
